In bidding for this project, please review the following requests. The terms of this job are that all funds will be transferred into an escrow account and no funds will be released until the job is complete. No exceptions. It has been our experience that on all but one job the project was abandoned upon receipt of a majority of the money but not a majority of the work was complete. 

The language this site will be developed in will be English (US). We are based in CA PST time zone. We are avail from 9am to 9pm 7 days a week for communication as needed. 

All code, images, designs etc, you create under this job will be owned by us. You will not have the right to resell the “product” we have paid you to generate. We will be given the code and project notes. 

We will need a non-disclosure agreement from you and your organization. 

All communication from you or your company to our team will be responded to within 24 hours, 7 days a week. You will have 2 email addresses for our principals to communicate with. Each email should be addressed to both and one or both will “respond all” so all communication will be received by all parties. If your company has a “job board” where you prefer communication to be made, please identify that in the bid.  If we do not respond within 24 hours of your communication with us a 5% “reward” to you will be added to you to the project escrow account and to the total of the project award to you. If you do not communicate with us within 24 hours on your work days as stated prior to the start of this project, a 5% penalty will be deducted from the project total. 

Because of the nature of our work we will have limited access to skype or IM. However, we will be accessible via email in the 24 hour time period listed before. 

If the job is completed in the time YOU have determined it will take we will fund 100% of the agreed upon price. There will be a late penalty of 3% per day of the total project award for each day past the guaranteed deadline as determined by you and your company prior to the start of work. This deadline date can be adjusted with consent of both parties up five days of completion deadline date. 
The purpose of these terms is to make sure that we are both clear on the project and there is no confusion in the language of the terms and all expectations are met. We want this to be a win-win and develop a working relationship with a team that will not end with this project. We have over 400 domains that we will over the course of the next year develop and are looking for that partner who we can trust and who we would recommend to friends as well. 
 
Overall Project Summary:

o Ten page membership website with Admin/edit mode. We need a very high level of security in data protection as well. 

o We want five “style” versions of the WebPages initially, with three revision opportunities to finalize the look and feel of the site. 

o Ability for members to sign up paying via check, credit card or paypal (to be activated later).

o The ability to have “recurring membership renewal” monthly and automatically.

o The ability to email or message members internally from admin to the member. Emails from members would be a external link only. 

o Two separate groups/Albums of photo’s internally that will play in slide show locations on the site. (updated through the admin area)

o The ability to create unique member numbers each month for members choosing to “enter the monthly drawing”.  (A member signs up and at any time can opt in or out of the monthly drawing) That number has to be re-generated each month as a new number. There can be no missing numbers in the sequence of members participating in the drawing.

o Members can opt in or out of drawing up to 1 hour prior to weekly drawing

o One hour prior to drawing the current months membership group will end and the following month’s will begin. 

o Members must be “searchable” by member number. 

o The total number of “members this month” will be tallied and displayed on the front page, as well as “members entered this month in the drawing”.  This should be a live tally. 

o One hour prior to monthly drawing the numbers will “lock” and the unique member numbers will be created for each member participating in the monthly drawing. Also an email will be sent to our owners with the two totals of total members and members participating in the drawing. 

o Member’s “homepage” once logged in can customize their page to include a picture, list of dreams, an “invite friends” email link which should generate an external email launch in their email program that they can drop their address book names into. This “invite” should include a link back to the site with an identifiable code that we will know who referred this new member from. The family hierarchy should be maintained and available to view by the member (and admin) to show who has signed up in their “family of friends”.  Should be similar to the look and feel of a member name/functionality of a social networking site such as facebook or myspace. 

o Admin should have export functionality in correct format to be importable into QuickBooks. This includes but not limited to:

o Customer database

o Payment information

o Pre-pay registration/membership information

o The system should have the ability to process the auto-pay function. 

o From the admin area the member numbers should be searchable by month as well as by name, email address, credit card, phone number, etc.

All member data should export to quickbooks in the proper format. 

Members will join the website and can pay for one month or pay multiple months in advance. The cost is $1.00 per month. 

The site will have three payment options, check processing, credit card processing and paypal. 

A member will have the option of participating in a raffle drawing each month when they sign up and can change that option to opt in or out until one hour prior to the drawing. That means that all “member numbers” will need to be sequenced all at once at the point one hour before the raffle drawing is done. In that hour the number will be identified on the member’s home page. 

The site will assign a unique number to each member who chooses to participate in the drawing. 

ADMIN PAGE/FUNCTIONALITY:

Member communication functionality allowing us to generate internal messages to the individual “member page” or to generate an email via outlook or mail program to regular email addresses.
